How did Osidoc transform document automation for the FNAIM real estate network?

Customer context

Before Osidoc's intervention, the Fédération Nationale de l'Immobilier, which brings together around 10,000 real estate agencies, was facing several complex challenges related to the management of its contractual and administrative documents in the areas of transaction, rental, human resources, and others. The problems encountered were:

 

Manual and lengthy processes for updating documents : FNAIM's legal department (DJ) used Microsoft Word to create and update pre-printed documents for agencies. Once the documents were validated internally, they were sent to a graphic designer for formatting, then to a printer for the "proof of print". This manual process, involving several back-and-forths between stakeholders, lasted at least 6 months for each update.

High legal risks : Due to the slow pace of updates and the large quantities of pre-printed materials ordered for economic reasons, many agencies were using obsolete documents for months or even years. A survey revealed that more than 90% of the sales mandates produced by the FNAIM network contained errors and were legally voidable, in particular because of an incorrect mandate clause.

Costs and inefficiencies related to training and document management : FNAIM organized regional training courses to train approximately 40,000 sales representatives in the preparation of pre-printed documents, resulting in significant costs and work interruptions. In addition, agencies had to store large quantities of pre-printed documents, taking up space and complicating logistics.

Out of sync and lack of responsiveness : Updating documents in the ERP used by FNAIM members required additional development for each change made by the legal department. This costly process led to delays, making the documents available in the ERP often obsolete.

The Osidoc intervention

To address these issues, Osidoc was deployed to modernize and automate document management within the FNAIM network, with a multi-step approach:


Centralization and automation of updates : Osidoc has replaced pre-printed documents managed on the web and by printers. Now, all document updates are carried out by the legal department via Osidoc, ensuring immediate distribution of the most recent versions and eliminating the risk of legal errors linked to the use of obsolete documents.

Two modes of using Osidoc with customization :

  • Secure pre-printed download: For agencies reluctant to change their methods, Osidoc offers a pre-printed download that automatically includes a correct and secure mandate clause.
  • Assisted drafting: For other agencies, Osidoc allows assisted drafting of documents, guaranteeing legal compliance and significant time savings.

Eliminate costly training and streamline processes : With Osidoc, salespeople can train directly through the tool, eliminating the need to organize regional training. Document updates are automated for all channels, including real estate ERP, e-signature, etc., ensuring consistency of information and documents across the entire network.

The results

The implementation of Osidoc has enabled FNAIM to achieve significant results:

 

Reduced legal risks : The elimination of obsolete pre-printed documents has completely removed the risk of document non-compliance, ensuring the legal validity of all contracts and mandates produced by agencies.

Cost and logistics optimization : No more need for pre-printed storage in branches, which frees up space and reduces costs related to printing and inventory management. Branch logistics processes are also simplified, with faster responses to customers.

Improved operational efficiency : Agencies can now process documents faster thanks to complete automation, significantly reducing processing times and human errors. The information system (IS) is now integrated and consistent in real time, eliminating manual re-entry and ensuring perfect tracking of document versions.

Increased adoption of new technologies by agencies : Simplifying the use of Osidoc, without the need for additional training, has facilitated the adoption of the solution by all agencies, ensuring greater uniformity and efficiency in document management on a national scale.

 

Thanks to Osidoc, FNAIM has transformed its document management into a centralized, secure and automated process, offering better compliance, increased operational efficiency and reduced costs for its agencies.
